Company web guide

For whoever manages

The company web, section by section

empresas.vanu.com.uy is the company's desk: the same account and the same data as the app, on a big screen for planning. This is what the September 2026 release added: the team, the fleet, the assignment calendar, the paperwork and the replay of every run.

The web opens at empresas.vanu.com.uy with the same account you use in the app. If you signed up with Google, use the Google button; otherwise your email and password.

If you were invited to a company

The invitation link opens a page saying which company is adding you and with what position. If you already have a Vanu account, sign in with it and you join the company; if not, you pick an email and password right there. The link expires after 7 days and works once.

Who sees what

Your position in the company decides what the web shows:

  • Owner: everything, billing and plan included.
  • Administrator: passengers, families, institutions, routes, trips, fleet, documents, calendar, reports and communications. Not the plan.
  • No management: the home with the company's day, the calendar, their trips, notifications and profile. On the management sections they see a notice instead of the screen.

The first screen gathers what needs a decision from you and how the day is going. On top, the summary: how many runs there are, how many already left, how many are running and how many are still uncovered.

Needs your attention

A short list of what blocks a run or waits for an answer: routes with no driver or no van, overlaps, delayed runs, invitations about to expire and passengers with no family following them. Each row carries the button that solves it: Assign, Resend, Invite. What doesn't apply can be hidden and stays hidden.

The day, in order

Today's runs one under the other, with who drives, in which van and the state of each: leaves in so long, running with how many on board and the next stop, done, or uncovered. From here you open the live run, the replay of one that finished, or the assignment dialog of one still uncovered. When the day is over it says how many were done out of the planned ones.

Week coverage

Below, a glance at the week: per day, how many runs are covered and whether there are overlaps. Click a day to open the calendar on that date.

The company's record and its roster. Whatever you change here shows the same in the app.

Company details

Name, contact email and phone, and the plan with how many active people it has. Save applies the changes.

The team

One row per person with their position, job, status and since when. The position changes with the dropdown; the job with the Drives and Rides along checkboxes, which can both be ticked.

  • Position: Owner, Administrator or No management. Decides what they can manage.
  • Job: Drives and/or Rides along. Decides which seat they can be planned into; the same person never takes both on the same trip.

If you take a job away from somebody still planned with it, the web lists the routes and lets you fix the calendar first or take them off all of them.

The only person who can manage can't be removed or demoted until another Owner or Administrator is named.

Inviting

A name is enough: the person goes on the roster and you can assign them routes right away, even before they have come in. The email is optional; left blank, they choose it when opening the link.

  1. Click Invite, type the name, pick the position and tick the job
  2. Copy the link that appears and send it over WhatsApp; nothing is emailed
  3. While it says "Not arrived yet" you can resend, edit the details or cancel the invitation

With no name and no email a loose link is minted: whoever opens it takes it.

Removing someone

The person loses access on their next request; the company keeps the history of what they drove. "Show removed" brings them back into view.

If you work in more than one company

Above the record you get "You're working in", with a card per company and your position in each. The one you pick is the one the rest of the web answers for, and the switch shows in the app too.

Adding, editing and deleting

New vehicle opens the form; Edit and Delete sit on each row. A plate can't repeat. A deleted van leaves the fleet and future assignments, not the history.

Where it is used

A van is assigned to a route from the calendar or from the route's record, on its own tab, separately from the driver. Its paperwork lives in Documents ▸ Fleet.

Two sections because they are two things. A route is the plan that repeats: which days it goes out, at what time and with which stops. A trip is a dated run: what happened or will happen on one specific day.

The routes list

Each route with its status, how many stops it has and the Assign button for its crew. "Show cancelled" reveals the ones that no longer go out.

A route's record

When it goes out (days, time, start and end dates), the current crew (driver, attendants and since when) and the stops with their times. "See the trips" lists its runs; "See the history" shows every assignment it ever had, with its window of dates.

Trips

The runs, with active and history tabs. A running trip opens live; a finished one has its replay.

The assignment dialog opens from the routes list, from the record, from the calendar or from Home. It has three tabs, Driver, Attendants and Vehicle, because the three are planned separately.

Driver

Pick who, from which day and until when (blank means open-ended). Apply it to every day of the route or only some. A new assignment closes the current one the day before; the history is kept. "Step off" takes them off the route from the date you choose; the bin deletes the record.

Attendants

Added one at a time, each with its own window of dates. Adding or removing one doesn't touch the driver or the others. Only people ticked as Rides along in Company show up.

Vehicle

The van is planned separately: changing it doesn't touch whoever drives. Only the company's fleet is offered, and the web warns if it overlaps with another route on those days.

The same person can't drive and ride along on the same trip. A day already running or closed keeps the crew it left with: changes apply from the next one.

Who drives and who rides along on each route, day by day. Three views: Mon to Fri, Week and Month; the arrows move the period and "This week" returns to today.

Reading a day

Each route shows its time and its chips: the driver, the attendants and the van. A grey chip with × is that day's assignment; the × removes it from that day only, leaving the rest of the window alone. What's missing shows as "Unassigned".

Overlaps

If the same person or the same van is on two routes at the same time, the calendar flags both chips and counts them at the top. Home lists them too.

Assigning from the calendar

Click a route on the day you want and the assignment dialog opens with that date as "From".

The paperwork the city requires from the company, each van and each person, with its expiry. Three tabs: Company, Fleet and People, each with its count of valid, expiring, expired and missing.

The statuses

  • Valid: filed and in force.
  • Expiring: in force, but running out soon.
  • Expired: past its date.
  • Missing: never filed. Optional ones don't count as missing.

Filing and renewing

Filing asks for the issue date, the expiry date and a reference (policy number, certificate number, licence category). Renewing keeps the previous one as history. The file (PDF, JPEG, PNG or WebP up to 10 MB) is optional: for documents with sensitive personal data, only the date is stored by default.

Every finished run has a replay: from Trips, or from Home with "See how it went". It shows the GPS trail on the map, who drove and from which phone the location was shared.

Playing it back

Play runs the trail at 10×, 60× or 300×; the bar jumps to any moment. Below, the timeline: the departure, every mark (on board, delivered, absent), phone handovers, exceptions and the end.

The mark next to the GPS

At each stop, the time of the driver's mark sits next to the GPS arrival: whether they marked on arrival, minutes after, minutes before, or whether the van never went past. Automatic marks are told apart from manual ones.

Watching live

While the run is in progress, the same screen follows the van and refreshes on its own. If it ends while you watch, it switches to the full replay.

And on the phone

The company, the fleet, the schedule and the assignments are in the driver app too, to sort something out from the van.
